Customer Portal

The customer portal is a self-service area your customers log into. It lets them see their bookings, vehicles, invoices, loyalty and photo galleries, and message you directly.


What customers can do

Once signed in, a customer can:

  • View their bookings and details.
  • See their vehicles.
  • Open the photo gallery for completed jobs and download their package.
  • Track loyalty points and rewards (if enabled).
  • Raise and reply to support tickets.
  • Update their profile and password.

The portal uses your branding (logo and colours) so it feels like part of your business.


How customers get an account

There are three ways a customer account comes to exist:

  1. Self-registration: a customer who already exists in your records can request access from the portal, and DetailByte emails them a secure link to set a password.
  2. Automatic invite: when a customer's first booking is completed, DetailByte automatically sends them an invitation to set up their portal account (only once, and only if they have an email and no account yet). This is the natural moment they have something worth logging in for: their finished job package and any loyalty points.
  3. Admin invite: you can send a set-password or reset link from Portal Accounts.

For privacy, the portal never reveals whether an email belongs to an existing customer during sign-up: matching happens quietly in the background.


Managing portal accounts

Portal Accounts (in the sidebar) lists every customer login. From here you can:

  • Correct a customer's portal email (kept in sync with their customer record).
  • Activate or disable an account.
  • Resend an invite (for accounts that never set a password) or send a reset link (for active accounts).

Account statuses are Pending (invited, not yet set up), Active, or Disabled.


Support tickets

Customers can start a support ticket from their portal to ask a question or raise an issue. You handle these under Support Tickets in the admin panel:

  • A new ticket or customer reply notifies you.
  • You can reply, which emails the customer a notification.
  • You can close a ticket; a customer replying to a closed ticket automatically reopens it.

Job-package galleries

When you deliver a job package, the customer accesses their before/after photos, invoice and documents through the portal gallery. Galleries can be given a limited access window (configurable under Settings → Customer Programs → Job Packages).


Password help

Customers who forget their password use the Forgot password link on the portal login, which emails them a secure reset link. Reset and set-password links expire after 48 hours for security.
